1. Standard Room Reservations

1.1 Cancellation Windows and Fees

Our standard cancellation policy for room reservations is as follows:

  • 48+ hours before check-in: Full refund with no cancellation fee
  • 24-48 hours before check-in: 50% of the first night's room rate plus applicable taxes
  • Less than 24 hours before check-in: 100% of the first night's room rate plus applicable taxes
  • No-shows: 100% of the first night's room rate plus applicable taxes

Cancellation timeframes are based on the property's local time (Pacific Time Zone).

1.2 How to Cancel a Reservation

You can cancel your reservation through any of the following methods:

1.3 Refund Processing

Refunds for eligible cancellations will be processed to the original form of payment within 7-10 business days, though it may take longer depending on your financial institution.

2.3 Member Exclusive Rates

3. Group Bookings & Events

3.1 Group Room Blocks

For group bookings of 10 rooms or more, the following cancellation policy applies:

  • 30+ days before check-in: Full refund of any deposits
  • 15-29 days before check-in: 50% of the total group booking value
  • 0-14 days before check-in: 100% of the total group booking value

Individual rooms within a group block may be canceled according to the terms established in your group contract.

3.2 Meeting & Event Space

Cancellation policies for meeting rooms, ballrooms, and event spaces are outlined in the specific event contract. Generally, the following applies:

  • 60+ days before event: Full refund of any deposits
  • 30-59 days before event: 50% of the total event value
  • 0-29 days before event: 100% of the total event value

Food and beverage minimums, audiovisual services, and other add-ons may have separate cancellation policies as specified in your event contract.

4. Reservation Modifications

4.1 Date Changes

Changes to reservation dates are subject to availability and may result in rate changes:

  • Modifications made 48+ hours before the original check-in date are generally allowed without penalty, but new rates may apply
  • Modifications made within 48 hours of the original check-in date may be subject to the applicable cancellation fee unless the new stay is of equal or greater value

4.2 Length of Stay Changes

Shortening your stay within 48 hours of check-in may result in an early departure fee equal to one night's room rate plus applicable taxes. Extending your stay is subject to availability and current rates.

4.3 Room Type Changes

Room type changes are subject to availability and may result in rate adjustments. Upgrading to a higher room category is generally allowed without penalty, while downgrades may be subject to the cancellation terms of the original booking.

5. Special Circumstances

5.1 Force Majeure

In the event of circumstances beyond your control that prevent you from honoring your reservation (such as severe illness, death in the family, natural disasters, or government travel restrictions), we may waive cancellation fees at our discretion. Supporting documentation may be required.

5.2 Hotel Cancellations

In rare circumstances where Venvorah Casino Hotel must cancel your reservation due to unforeseen circumstances, we will:

  • Provide a full refund of any deposits or prepayments
  • Assist in finding alternative accommodations when possible
  • Offer a future stay credit as appropriate

5.3 Early Departures

If you check out prior to your scheduled departure date, you may be charged an early departure fee equal to one night's room rate plus applicable taxes unless the departure is due to circumstances beyond your control.

6. Seasonal & High-Demand Periods

During peak times, holiday periods, and special events, modified cancellation policies may apply:

  • Major holidays: 7-day cancellation policy (full refund if canceled 7+ days before check-in; one night's charge if canceled within 7 days)
  • Special events: 14-day cancellation policy for major conventions, festivals, or sporting events
  • Peak season: Extended cancellation periods as specified at the time of booking

These modified terms will be clearly communicated during the booking process and in your reservation confirmation.

7. Third-Party Bookings

If you booked through a third-party platform (travel agency, online booking site, etc.), the cancellation policy of that platform may supersede our standard policy. Please refer to your booking confirmation or contact the third-party provider directly for their specific cancellation terms.

For assistance with third-party bookings, we recommend:

  • Contacting the booking platform directly for cancellations or modifications
  • Having your booking reference number ready when contacting either the third party or our reservations team
  • Reviewing the platform's terms and conditions regarding cancellations before booking

8. Dining & Activity Reservations

8.1 Restaurant Reservations

For our fine dining restaurants:

  • Cancellations made 24+ hours in advance: No cancellation fee
  • Cancellations made less than 24 hours in advance or no-shows: $25 per person cancellation fee
  • Special dining events or holidays may have different cancellation policies that will be communicated at the time of booking

8.2 Spa Appointments

For spa treatments and services:

  • Cancellations made 24+ hours in advance: No cancellation fee
  • Cancellations made less than 24 hours in advance or no-shows: 50% of the scheduled service
  • If you are more than 15 minutes late, your appointment may be shortened or rescheduled

8.3 Entertainment & Show Tickets

Entertainment tickets are generally non-refundable unless the event is canceled by the venue. Some flexibility may be available for Players Club members at higher tier levels.
